At Well aHead Therapy, as a Data Controller, we are committed to protecting your privacy and ensuring the security of your personal information. This notice outlines how we collect, use, and safeguard your personal data when you enquire about our counselling services and throughout your therapy sessions.
We collect personal information about you when you enquire about our counselling services, including contact details, availability, and other relevant personal information. The collection of your data during initial enquiries and therapy sessions is justified under the legal basis of performance of contract. The processing of your special category (sensitive) data is conducted based on your consent. Your personal information will only be used to provide you with our services and to give you information relating to our services. We will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, a safeguarding concern, or a perceived risk of harm.
Your privacy and the security of your data is important to us. All information collected before and during counselling sessions is securely stored in accordance with legal obligations and best practices. We use paper records and session notes stored under lock and key when not being used in sessions or transferred to and from sessions. During transit, your data will not be left unattended unless under lock. We assess the necessity of data retention, considering the sensitivity of the information and the potential impact on individuals. Our retention periods are based on compliance with legal obligations and the necessity to keep the data for potential legal claims or regulatory requirements.
If you have enquired about counselling with Well aHead Therapy, and then decide not to continue, we will destroy any personal information you have given us within a month (unless you ask us to do so sooner).
If you have therapy with Well aHead Therapy, when that therapy ends, we will retain your personal data for a further 6 years before destroying it.
Any data received by email will be deleted after a month unless it is important for providing you with our service, in which case, its content will be incorporated into the paper records we keep about your therapy.
When we communicate with you by email we cannot guarantee this as fully secure. However, we do our best to make sure our communications are virus-free.
As a data subject, you have rights regarding your personal data. These include the right to access, rectify, erase, or restrict the processing of your data. We are committed to respecting and facilitating the exercise of these rights.
